Timetables

Use Timetables to publish recurring schedules, such as class timetables or event listings. A Timetable is the named container, with a Status of Draft, Published or Archived; it holds a set of entries, the individual sessions shown on its Day and Week view.

What it's great for

Timetables suit anything that repeats on a schedule: a gym's class timetable, a leisure centre's pool sessions, or a care home's daily activities programme. It handles rooms and people too, so a multi-studio gym or a care home running several rooms at once can filter down to just one.

Care homes and schools get the most from it, because their day is built from named, repeating slots: daily-activities-v1 and routine-v1 turn a Timetable into a big, friendly whole-day view for a care home or nursery, and lounge-schedule-v1 shows just one room's day. Gyms and leisure centres use leisure-timetable-v1, pool-schedule-v1 and class-spotlight-v2 for studio-door and poolside boards, and hotels and offices use welcome-v1 to show what's on today alongside a welcome message.

How to build a timetable

  1. Click New Timetable, name it, then Create.
  2. Click Add Entry, or click an empty timeline slot to start an entry there.
  3. Set Start time and End time (duration is worked out for you), a Title, and optionally Room, Person, Category and Subcategory.
  4. Under Schedule, set how it repeats: Daily, Weekdays, Specific Days or One-off.
  5. Click Add, then Save; edits stay local until you do.

Day view, Week view and editing entries

Switch between Day and Week, and between Calendar (timeline) and Stacked (list) layout. In Calendar layout, drag an entry to move it or drag its bottom edge to resize it; a plain click opens it for editing. Moving a recurring entry splits off a one-off exception for that occurrence, leaving the series unchanged.

Deleting a recurring entry offers This date only, This and following, or Entire series. Editing one occurrence also offers Save this date only, a status-only override that leaves the series untouched.

Time slots

The timeline shows a fixed window (8:00–20:00 by default); use the Earlier and Later links to widen it. Toggle Normal or Compact for row height. A red line marks the current time when today is visible.

Rooms and people

Room, Person, Category and Subcategory on the entry form are lookups: type to pick an existing value or create one on the fly (pick a category before its subcategory). Manage the full lists from Timetable settings (cog icon). The Filter entries panel (funnel icon) filters the timeline by any of these, and sets Colour by, which one the blocks are shaded by.

Importing entries from CSV

Click Import CSV to bulk-add entries. Columns read (case-insensitive): time and title (required); endTime, room, person, category, subcategory, scheduleType (daily, weekdays, specific-days, once), daysOfWeek, specificDate, startDate, endDate. Use Download sample CSV for a template.

A row is skipped, with a reason listed, if time or title is missing, time or endTime isn't HH:MM, or specificDate can't be parsed. Any named room, person, category or subcategory that doesn't exist yet is created automatically.

Choose Add to existing entries or Replace all entries before importing; imported entries still need Save to be kept.

Timetable and entry statuses

Draft: not live yet. Published: in active use. Archived: retired, kept for reference.

Each entry also has its own status, under Class status: Cancelled, Full and Waitlist, plus a free-text Status note. Cancelled takes precedence over Full and Waitlist wherever the timetable displays.
