Media

This is your library of images and videos for boards: menus, events, listings, ads, board takeover screens and more. Upload files once, then pick them from the library wherever a page needs an image or a video.

What it's great for

Media suits anything you'd rather show than write: a restaurant looping a video of its dishes, or a gym filling a spare screen with brand photos between classes.

Any venue with a screen that doesn't need live data reaches for this first, since it needs no content type of its own to render: the Media board (media-v1) plays straight from this library, full screen, with an optional NowBoard header. Menus, events, listings and takeover screens across every sector also pull their photos from here.

How to upload media

  1. Select Upload in the top right.
  2. Drop files onto the drop zone, or select it to choose files from your device. You can add several files at once.
  3. Optionally set a Category and Subcategory; these apply to every file in this batch.
  4. Optionally set Auto-delete to have the files removed automatically after a set time (see below).
  5. Select Upload to start. Each file's progress and status shows in the list.

Supported types and size limit

Images: JPG, PNG, WebP and SVG. Video: MP4 and WebM. The upload screen states a limit of up to 50MB per file; bulk uploads are fine, so add as many files as you need in one go.

Organising with categories

Each file can carry a Category and Subcategory, picked from the same lookup lists used elsewhere in the CMS (type to search, or pick from the list). Set them on upload, or open a file's Edit (pencil) action afterwards to add or change them. Filter the library by Category or Subcategory using the dropdowns above the grid.

Finding and sorting media

Use the search box to find a file by name or original filename, and the type dropdown to narrow the grid to Images or Videos only. Sort with Newest first, Oldest first, Name A → Z, Name Z → A, Largest first or Smallest first. Select a file's tile to open a preview with its type, size, dimensions, duration (for video) and upload date.

Auto-delete

When uploading, set Auto-delete to Never, After 7 days, After 30 days, After 90 days, or a Custom date. Once that time elapses, the file is removed automatically; this is useful for seasonal artwork or short-lived campaign assets you don't want to remember to clean up.

Where media is used

Anywhere a page needs an image or video, such as board layouts, menus, events, holiday and property listings, ad campaigns and ad spaces, and board takeover, you'll see a Select media dialog. It lets you browse and filter the existing library, or switch to its own Upload tab to add and use a new file in one step.

Editing and deleting

Select a file's pencil icon to rename it or change its Category and Subcategory. Select the trash icon to delete it; you'll be asked to confirm, and deletion cannot be undone, so check the file isn't still in use on a board before removing it.
