Events

Use Events for one-off and scheduled happenings: markets, gigs, meetings, anything with a start (and usually an end). Published events appear on "what's on" and welcome boards.

What it's great for

Events suits anything with a start time on a given day: a museum's today's talks and tours, or a GP surgery's clinic schedule for the day.

Museums, galleries and libraries get the most from museum-today-v2 and exhibitions-v2, which turn Events into a talks-and-tours board and a what's-showing board. Healthcare venues, care homes, schools and offices use clinic-schedule-v2 for a live, one-column clinic or surgery schedule, and theme parks and attractions use rides-shows-v1 for a show-times board with the next show highlighted.

How to add an event

  1. Click New event.
  2. Enter a Title and, optionally, a Description.
  3. Add a Venue and Room if the event is somewhere specific.
  4. Pick a Category and, if it has one, a Subcategory. You can type to pick an existing one or create a new one.
  5. Set when it happens (see below) and add an Image if you have one.
  6. Leave Published on to show it on boards, or turn it off to save as a draft.
  7. Click Create event.

Dates and all-day events

Starts is required. Ends is optional: leave it blank for an event with no set finish.

Turn on All-day event for something that isn't tied to a specific time, such as a whole-day market or a multi-day exhibition. This hides the time pickers on Starts and Ends so you only set dates. Leave it off for a timed event (a talk at 7pm, for example) and the time pickers appear.

Restricting to a site or Channel

By default an event shows on every board that lists events. Open the Advanced section in the event form to restrict it to one Site or one Channel instead. Leave both blank to keep it showing everywhere.

Narrowing which events a board shows

Every board that shows events shows all of them, org-wide, unless you narrow it. Open a board that shows events and look for the Event filter panel in its Content tab. Pick a Category, Subcategory and/or Site there to show only matching events on that board. Leave a field on — All — to not filter by it.

This is different from the per-event Site / Channel restriction above: that limits where one event can appear at all, while a board's event filter controls which of the org's events that one board picks up. New events matching a board's filter appear on it automatically, without editing the board again. Clearing the filter goes back to showing every published event.

Finding and managing events

Use the Upcoming / All switch at the top to hide events that have already finished. Click Filters to search by title, venue or room, or to narrow the list by site, channel, category or subcategory.

The Status column shows Published or Draft. Use the pencil and bin icons on a row to edit or delete an event.
